How to Filter Emails in Outlook

Microsoft Outlook allows you to filter your emails, so you can see the ones within certain criteria. The filter feature is a part of Outlook's spam filters. The feature is available for each version of Outlook provided by Microsoft. Follow the given steps to use a filter in outlook.

How to Filter Emails in OutlookStep1: To filter emails in Outlook, go to the Home tab then Find group and click Filter Email. From the options, you can select any of the filters to see your emails. For example, select This Week to show time ranges and then click Last Week to check the emails received last week.  

Step2: To remove the filter, click ‘Close Search’, and your email view will return to normal view.

Step3: If you want to filter One Sender's Mail to a Certain Folder Automatically in Outlook then follow the given points.
  • Open an email from the sender whose messages you want to filter. 
  • Go to the Home tab in the ribbon. 
    turn off automatic filtering from junk folder
  • Select Rules ->Always Move Messages From: "Sender" under Move. 
  • Highlight the desired target folder. 
  • Click OK.

Step4: You can also turn off automatic filtering from Junk folder. To disable automatic filtering, go to the "Home" tab ->Junk->Junk Email Options-> select "No Automatic Filtering".

How to Set Up an Outlook Web Access Account(OWA)

Outlook Web Access (OWA) is a web e-mail service used along with the Microsoft Exchange Hosting server. With this feature, you can get your information via the Internet. You can publish information via Web access, create storage files and handle your schedule. Follow the given steps to setup Outlook web access account.

Step1:  Close Microsoft Outlook in your system.

How to SetUp an Outlook Web Access Account
Step2: From Start button, select "Control Panel"->"User Accounts"-> choose “Mail" from the available options.

Step3: Select "Show Profiles" from the Mail Setup dialog box then simply choose the "Add" option.

Step4: Type in a name for the user profile in the "Name" written text box and click the "Ok" button. It will open the Auto Account Setup system.

Step5: Type your email address and name in the "Auto Account Setup" dialog box. It should be similar with your computer log-on and Window Live sign-in information. Click the "Next" button to continue.

Step6:  When request permission message prompted then click the "Allow" button

Step7: After completing all the steps, press the “Finish" button.

Microsoft Outlook stores your email messages and allows you to download files stored in your messages (also known as attachments) to your computer. Sometimes, Outlook blocks certain file formats from download, because they can be virus that can harm our computer. This problem can occur due to virus problem or the temp folder of your outlook that saves copies of your attachments has become full.  Follow the given steps to fix Microsoft Outlook problems.

Step1: To clean out the folder in outlook, click “Start” button ->Run-> Type "REGEDIT.EXE" and click "OK”.

Step2: It will open Registry Editor Window. Go to "Edit" on the toolbar and click "Find".

Step3:  Type "OutlookSecureTempFolder" in the "Find What" box and hit Enter.

Step4: Find this path, C:\Users\rac\AppData\Local\Microsoft\Windows\Temporary Internet Files\Content.Outlook\CU8KPJWH\

Step5: Copy location of that folder. Then again click Start button and in Run box paste the folder location. Click “OK”.

Step6:  It will open up Windows Explorer. Delete all the temporary Internet files from this folder.   

Step7: Scan the file with a virus scanning program before opening the attachment if the file is from someone you don't know. You can also download and install CodeTwo Attach Unblocker to open attached file in Outlook.

Microsoft outlook is very powerful and reliable email client application. It provides very safe and secure platform for private or official mails. Despite that it may face errors. Error 0x80042108  is  one amongst serious Microsoft Outlook problems that leads to data loss in Microsoft Outlook application.

When you are trying to send or receive mails, you may receive error message like- Sending and Receiving' reported error (0x80042108): 'Outlook is unable to connect to your outgoing (SMTP) e-mail server'.

There could be number of reasons behind this error message such as:
  • Enabled SSL on your computer
  • Corrupted or damaged Outlook PST file
  • Enabled anti-spam add-in
  • Due to ant-virus software programs
  • Corruption in registry file

1. If this Outlook error is caused due to antivirus programs then check the setting and disable the email scanning process during sending or receiving mails.

      Step1: If Outlook is open, then close it.

      Step3: Double click the 'Scanpst.exe' file.

      Step4: Locate the corrupt file and start repairing.

      Step5: Once the file is repaired, you can see the message "Repair Complete." you can now Open Microsoft Outlook.

      3. Try to clean the windows registry but registry modification is a sensitive procedure. Download Ccleaner, a free registry tool and run it on your computer. You should close Outlook while you run the tool in your system.

      A PST(Personal Folder) file is used by Microsoft Outlook to store the Outlook data. Other than the default PST file that Outlook uses, several other PST files can be created to store the Outlook data. These are useful for creating archives and backups of emails, calendars, contacts and projects to maintain data.

      If you want to back up only some of your Outlook data, you can create a new backup .pst file of the selected items. This is also known as exporting .pst file data.       • To automatically synchronize all folders at specified intervals while you're online, select the Schedule an automatic send/receive every x minutes check box, and then enter a number between 1 and 1440.
      • To synchronize all folders after every online Microsoft Outlook session, select the Perform an automatic send/receive when exiting check box.
      Step4: In case of offline synchronization set up, select the check boxes which you want: To automatically synchronize all folders at specified intervals while you're online, select the Schedule an automatic send/receive every x minutes check box, and then enter a number between 1 and 1440.

       Instant Search is a feature which enables an end-user to quickly find, sort and organize email messages. If this feature is not working, either it is not enabled in the program or the directory of Outlook data files is incomplete. Follow the given steps to fix your Microsoft outlook problems.

      Step1: Open your Outlook and go to the “Tools” menu.

      Step2: Point the cursor on "Instant Search" and click "Search Options". Under Indexing, confirm that the data files you want to include in your search are selected in the "Index messages in these data files" list.

      Step3: Verify the indexing is complete or not. Click "Instant Search" on the "Tools" menu and click "Indexing Status" on the menu. Confirm that the dialog box states "0 items remaining". If the answer is different than 0, the indexing is not complete. It must finish before all Outlook folders can be searched.

      Outlook Search Feature is Not WorkingStep4: Close your Outlook and again restart it. Check the indexing status that is indexing status reports “0 items remaining” and Instant Search does not return the result.

      Step5: Check the number of items in the Indexing Status dialog box .If the large number of files on your computer then it will take some times. If the number of items in the dialog box has not increased, close the program. You will need to rebuild the search box.

      Step6: From the “Start” menu and click “Control Panel." For windows 7 , click "System and Maintenance" and click "Indexing Options." Click on "Advanced" and click on the "Index Settings" tab. Click "Rebuild." Restart Outlook.

      Step2: Now a “Contact Group” window appears on the screen. In this window, enter a name for your group. Under the Members group, click “Add Members” and then choose “From Outlook Contacts” or “From Address Book”.

      Step3: When “Select Members” window will appears on the screen, select the contacts that you want to add to your contact group and then click the “Members Tab” at the left bottom corner of the window. Click the “OK” button.

      Step4: If you want to add some a new contact to your group, just click “Add Member” in the Contact Group window and then enter the Display name of the contact and the E-mail address. Check the box “Add to Contacts” and then click “Ok”.

      Step5: After adding all the contacts in the contact group, click the “Save and Close” button.

      Step6: Now you can start composing your mail. Just enter the name of your Contact group in the “To” field and the mail will be sent to all the persons who are included in the contact group.

      Step7: If you want to make sure that you have everyone included in the group, click on the plus (+) icon to expand the contacts. Then the members of the group will appear in the” To” field. Of course you can enter a Contact Group into the CC or Bcc fields as well.

      Step8: After expanding the Contact Group, if you find any contact missing or if you want to remove a contact, just click on the “To” field itself and a window appears where you will see your Contact Group’s name. Right-click your Contact Group name and select “properties” and from there you can remove or add contacts to your Contact group.

      Step9: You can also remove a member from “Remove Member” in the “Members” category. Click the “Save and Close” button. By this way you can manage your contact group.

While using Outlook 2010, you may experience a situation where the application freezes and you receive an error message 'outlook is not responding'. Outlook 2010 may not respond due to various reasons like –Outlook may be in use by another process, your mailbox may be too large, or another program may be conflicting with Outlook.

      Follow the given instruction to fix Microsoft outlook problem.   

      Step1: Install the latest Microsoft Outlook updates using Windows Update.

      Step2: Check your Outlook, if it is currently being used by another process (like synchronization or antivirus) or not. This information will be displayed in the horizontal status bar at the bottom of the screen. If you try to perform other actions while Outlook is in use, it may not respond.

      Step3: Check add-ins in Outlook, they can occasionally conflict with Outlook. Start Outlook without add-ins or you can also disable the Add-Ins in outlook 2010. Follow the given points.
      •  Click Start and type Outlook/safe in the Run box and click OK.
      •  If the issue is resolved, on the File menu, click Options, and then click Add-Ins. Select COM Add-ins, and then click Go.
      • Click to clear all the check boxes in the list, and then click OK. Restart your Outlook.

      Step4: Check to see if your mailbox is oversized or not. If your mail box contains large number of items, then you can move them into separate folders. To create a folder, you can follow the given points.
      • Open your Microsoft Outlook> Folder tab>click New Folder.
      • In the Name box, enter a name for the folder.
      • In the Select where to place the folder list, click the location for the new folder. The new folder will be a sub folder. Then Click OK.
      Step5: Repair your outlook data files. When you install Outlook 2010, an Inbox repair tool (scanpst.exe) is also installed on your PC. The Inbox Repair Tool can resolve issues by scanning your Outlook data files, and repairing errors.

      Step6: Check you antivirus is updated or not. If your antivirus software is not up-to-date, Outlook may not function properly.

      Step7: After completing all the above steps, if your profile is not working, try to create a new profile.

      Exporting from Excel

      • Open your Excel sheet. If your spreadsheet contains column description, such as name, email address and so on (otherwise fill first row, in each column like name, address etc.), then save this file into a folder with a specific name like-“contacts” and select the Save Type as CSV (Comma delimited). Just remember the folder location.

      Import into outlook:

      Step1: If you are importing into an existing Contacts folder, skip to step 3. To create a new folder in Outlook, click Folder List on the View menu, unless the Folder List is open already.

      Step2: Right-click the Contacts folder, and then click New Folder, type a name for the new folder, and then click OK.

      Step3: On the File menu, click Import and Export, click Next, click Comma Separated Values (Windows), and then click Next.

      Step4: If the file that is displayed is not the correct file, click Browse, browse to the folder noted in step 3, and then double-click the file to select it.

      Step5: If you are importing into a new folder, the Options settings is irrelevant because there are no duplicates. If not, choose the most logical selection. Click Allow duplicates if you are not sure, and then click Next.

      Step6: Click the Contacts folder, or other contacts-type folder that you have created, to import into, and then click Next.

      Step7: If you are not sure that the column names in the first row of the spreadsheet will map correctly to the Outlook fields, click Map custom fields to verify them.

      NOTE: If Map custom fields is unavailable, you have chosen a non-contact-type folder to import into. Click Back, and then choose the correct folder. If you are satisfied with the mapping, click OK to close the Map Custom Fields dialog box, and then click Finish.

      POP3 is a standard protocol for receiving emails while SMTP is a protocol generally used to send emails from a mail client to a mail server. By configuring your Internet Service Provider settings, Outlook can send and receive emails from the Internet-based accounts such as Yahoo! or Gmail. Follow the given steps to setup POP3 and SMTP in outlook 2010.

      Step1: Open your Outlook and click the File menu, select "Info" and "Account Settings."

      Step2: Select Account Settings from the drop-down list.

      Step5: Configure the new email account. You can configure the new email account automatically or manually. To configure the new email account manually, follow these steps in the Add New E-mail Account dialog box:

      • Select the Manually configure server settings or additional server types check box and then  click Next.
      • Click Internet E-mail, and then click Next. Under User Information, enter your full name and email address.

      Step6: In the Account Type box under Server Information, select POP3 and then type the name of the server in the incoming mail server box. The name may be in the form of"mail.contoso.com." Or, the name may be in the form of an IP address, such as 172.16.0.0.

      In the Outgoing mail server (SMTP) box, type the name of the outgoing email server. Type the server name in lowercase letters. The name may be in the form of "mail.contoso.com." Or, the name may be in the form of an IP address, such as 172.16.0.0.

      Step7: Under Logon Information, enter the user name and password. If your ISP requires it, click to select the Require logon using Secure Password Authentication (SPA) check box to log on using Secure Password Authentication.

      Step8: Click Test Account Settings. This feature calls for a dialog box that shows in a step-by-step manner each testing phase of the configuration that you entered.

      Step9: To make additional changes to your email account, click More Settings to open the Internet E-mail Settings dialog box. After completing the all above steps, click Next, and then click Finish.

      Step3: Click the "Connections" tab in the Properties window, and then click the "Advanced" button. This opens the Configuration window.

      How to Transfer Outlook 2007 PST to 2010

      Microsoft's Outlook series of email programs saves account and email information in the form of a PST (or .pst) file, a personal folder file. PST files can be exported from one version of Outlook and imported into another. Outlook 2010 which consist more feature than 2007.If you are using 2007 and want to transfer your PST file in outlook 2010 .Then follow the given steps to solve Microsoft outlook problem.

      Export Outlook 2007 PST File

      Step1: From main screen of outlook 2007, go to the file option

      Step2: From file, click on the import and export and click export to file then next.

      Step3: Click on Personal Folder File (.pst) then clicks next.

      Step4: Click on the account folder that you want to transfer to Outlook 2010. Click "Next."

      Step5: Click Browse. Choose where you want to save the file on your computer. And type a name for the saved .pst file and click OK. Click "Finish" to complete the exporting process.

      Import Outlook 2007 File into Outlook 2010

      Step1: Open your outlook 2010 then go to the file menu and click on the open.

      Step2: From open, there is an option import, click on import.

      Step3: Click on "Import from another program or file. Click Next. Click Outlook Data File (.pst). Click Next. 

      Step4: Click "Browse." Click on the saved Outlook 2007 .pst file from the previous section in its location on your hard drive. Click "Next." Click "Finish" to transfer your Outlook 2007 .pst file to Outlook 2010.

Others version and 2007 included, have trouble connecting to email, but there are ways to troubleshoot this issue to be able to send and receive your email using Outlook. Following steps will help you to troubleshoot outlook 2007.

      Step1: check your internet connection .To send mail and receive mail in outlook need internet connection.

      Step2: From start menu and go to control menu. Find and click "User Accounts," followed by "Mail." The Mail Setup dialog box will open.

      Step3: when a new profile wizard start, click on show profiles and then add. This will start a new profile wizard to run.

      Step4: Create your new profile. In the profile name box, type "Test" and then click on "OK." Click to select "Manually configure server settings" and then choose "Internet E-mail." The account type should be set to POP3. Click on next and follow prompts till completed.

      Step5: To set new profile as your default profile, click on the mail then check when starting Microsoft outlook, use this profile box. Check your new profile that you just created.
